Dear Artists, Volunteers, and Board Members,
Welcome to The Artist Cube! As a nonprofit dedicated to uplifting Muslim artists and building bridges through creative expression, your involvement helps bring our mission to life. This handbook outlines our shared values, responsibilities, and expectations. Please read it carefully and refer to it as needed.

1. Code of Conduct
We strive to maintain a welcoming, safe, and respectful environment at all times.
All participants agree to:

Treat everyone with dignity and respect

Celebrate diversity and avoid discriminatory language or behavior

Refrain from harassment, bullying, or intimidation

Work together with kindness and professionalism

Respect boundaries and space of others

2. Board Roles & Responsibilities
Each board member agrees to:

Attend all scheduled board meetings and the Annual General Meeting (AGM)

Prepare in advance, read materials, and participate actively
-
Contribute to strategic planning and oversight

Help fundraise and build community partnerships
-
Declare any conflicts of interest
Voting & Decisions:

All board members have equal voting rights
-
Most decisions are made by majority vote; larger changes require consensus or a supermajority
3. Volunteer Guidelines
Volunteers are vital to our success. We ask all volunteers to:

Commit only to what you can realistically do
-
Arrive on time and communicate if late or absent (minimum 2-week written notice if withdrawing)

Treat artists, guests, and team members respectfully
-
Follow health and safety protocols
-
Wear provided identifiers (e.g., name tags, shirts) at events
4. Artist Agreements (Board & Volunteer Summary)
Artists participating in our events will:

Sign a standard artist agreement before exhibiting or teaching
-
Retain ownership of their artwork unless agreed otherwise
-
Allow The Artist Cube to use images of their work for promotional purposes (with consent)

Give timely notice of any cancellations or changes
5. Conflict of Interest Policy
Board members and staff must:

Disclose any personal, professional, or financial interests that could influence decisions
-
Refrain from voting or influencing decisions related to those interests
-
Maintain transparency in all dealings on behalf of the organization
6. Decision-Making Process
Day-to-Day Decisions: Made by project coordinators or executive leadership.
Strategic or Financial Decisions: Made by vote during board meetings.
Emergency Situations: The Chair or Executive Director may act on behalf of the board with post-action notification.
7. Safe Spaces & Anti-Harassment Policy
The Artist Cube is a zero-tolerance space for:

Harassment (sexual, verbal, physical)

Discrimination based on race, religion, gender, ability, or background
-
Retaliation against individuals who report misconduct
Reports are treated with seriousness, confidentiality, and action.
8. Accessibility & Inclusion
We commit to making our programs accessible and inclusive by:

Securing accessible venues whenever possible

Offering printed materials in large text if requested
-
Providing interpretation or translation when possible
-
Respecting dietary restrictions and cultural sensitivities

9. Privacy & Media Consent
We collect only the information necessary to communicate and provide services. We:

Do not sell or share personal data

Ask for consent before photographing or recording individuals at events
-
Respect any requests to opt out of images or promotional use
10. Financial Transparency (Board Summary)

Budgets and financial reports are reviewed at least quarterly
-
Major spending ($100 and above) requires board approval and two signatures
-
Expense reimbursement requires receipts and pre-approval when possible
