The Artist Cube Governance & Conduct Handbook

For All Participants (Board, Volunteers, Artists)
Code of Conduct
We commit to a respectful, inclusive, and safe environment. All are expected to:
- Treat everyone with dignity and respect
- Celebrate diversity and avoid discriminatory behavior
- Refrain from harassment, bullying, or intimidation
- Collaborate with kindness and professionalism
- Respect others’ boundaries and space

Safe Spaces & Anti-Harassment
We have zero tolerance for:
- Harassment (sexual, verbal, physical)
- Discrimination based on race, religion, gender, ability, or background
- Retaliation for reporting issues
All reports are treated seriously and confidentially.
Accessibility & Inclusion
We aim to:
- Use accessible venues
- Provide large-print materials and translations when possible
- Respect dietary and cultural needs

Privacy & Media Consent
We:
- Only collect data needed for communication and programming
- Don’t sell or share personal data
- Ask for consent before photography or recording
- Respect opt-out requests
Board Members
Responsibilities:
Board members agree to:
- Attend board meetings and the AGM
- Prepare in advance and participate actively
- Help with strategy, fundraising, and partnerships
- Declare any conflicts of interest
Voting & Decisions
- All members have equal voting rights
- Most decisions are by majority; major changes may need consensus
- Day-to-day: handled by coordinators/executives
- Strategic/financial: voted on at board meetings
- Emergencies: Chair or Executive Director may act, with board informed afterward
Financial Transparency
- Quarterly review of budgets and reports
- Spending over $100 requires board approval and two signatures
- Reimbursements need pre-approval and receipts
Conflict of Interest
- Disclose any relevant personal/professional interests
- Abstain from related decisions
- Ensure transparency in all dealings
Volunteers
Expectations
Volunteers are essential and expected to:
- Commit only to what’s manageable
- Arrive on time; give notice if late or withdrawing (2-week notice)
- Treat artists, guests, and staff respectfully
- Follow health and safety guidelines
- Wear identifiers (e.g., name tags or T-shirts) at events
Artists
Participation Agreement
Artists involved in events must:
- Sign a participation agreement before exhibiting or teaching
- Retain full ownership of their work (unless otherwise agreed)
- Allow use of artwork images for promotion (with consent)
- Provide timely notice of cancellations or changes
